7. KSM CRM Gmail Sync and Google User Data

KSM CRM Gmail Sync is a private internal application used only by authorized KSM Log Homes and Timber Packages Co. staff. It connects approved, company-owned Gmail mailboxes to our internal customer CRM. It is not available to the general public and cannot be connected to personal or outside Google accounts.

What Google data we access

• Email messages (headers, subject, body) and attachments in approved KSM company Gmail mailboxes
• The basic Google profile and email address of the KSM staff member who authorizes the connection
• Permission to send email on behalf of the connected KSM company mailbox

Why we use it

Gmail data is used for one purpose only: to attach customer correspondence and attachments to the matching customer record in our CRM, and to let authorized staff send replies and quote follow-ups from the company mailbox. Access is limited to approved KSM company mailboxes on an internal allowlist; no other mailboxes can be connected.

How data and tokens are protected

Google OAuth refresh and access tokens are stored encrypted in our managed backend, are never exposed to the browser, and are usable only by server-side functions. All access is over TLS. The CRM itself requires authentication and an administrator role; message content is visible only to authorized KSM staff.

Retention, deletion, and revocation

Synced messages and attachments are retained in the CRM only as long as needed for our ongoing customer relationship and recordkeeping, and are deleted on request. A mailbox owner or KSM administrator may disconnect a mailbox at any time inside the CRM, or revoke access from Google Account permissions. On disconnection, stored tokens are deleted and syncing stops. On a deletion request, we remove the associated stored Gmail message content and attachments from the CRM.

No sale, advertising, or transfer

We do not sell Google user data, do not use it for advertising, and do not use it to train generalized AI models. We do not transfer Google user data to third parties except as necessary to operate the service (for example, our hosting and database provider acting under contract) or to comply with applicable law.
